We use established systems rather than building our own. What matters to you is that declarations reach HMRC correctly, that documents are kept where they can be produced during an audit, and that you can find out where your shipment is without waiting for a callback.
Systems that do the job
Declarations are prepared from your commercial documents and submitted electronically to HMRC under your EORI with your written authority. Shipment updates come from the people handling your file, not from an automated queue.
Customs declarations
Declarations are prepared from your commercial documents, checked against the UK Integrated Online Tariff, and submitted electronically to HMRC’s Customs Declaration Service under your EORI with your written authority.
- Import and export entries filed electronically to CDS
- Entry and movement reference numbers passed back to you once the declaration is accepted
- Entry status monitored until the goods are released
- Amendments and queries handled directly with HMRC rather than through a third party
Shipment visibility
- Carrier tracking references are issued at the time of booking, so you can follow the vessel or the flight at source rather than relying on us to relay it
- We update you at departure, arrival, clearance and delivery
- When something changes — a rolled sailing, a customs hold, a missed collection — you hear it from us at the point we hear it, not at the point it becomes a problem
We do not operate a customer portal. Enquiries and updates go by email, which for the size of company we work with is faster than a login nobody remembers.
Documents and records
Customs records must be kept for at least four years, and HMRC can ask for them at any point in that window. We hold a complete file against every shipment:
- Commercial invoice, packing list and transport document
- The submitted declaration and HMRC’s acceptance
- Duty and import VAT calculations, and the evidence behind any preference claimed
- Correspondence relating to holds, queries and amendments
Copies are provided on request and stored so they can be produced quickly if your entries are audited.
Data protection
Shipment data is held on our business systems, with access limited to the people working on your account. We process it in line with UK data protection law and our Privacy Policy. We do not sell commercial data, and we share it only with the carriers, hauliers, agents and authorities needed to move and clear the consignment.
Sending us documents
Email your documents to info@vithilogistics.com with your reference in the subject line, or attach them to the enquiry form. Send PDFs rather than photographs of paperwork — an unreadable invoice becomes a customs query, and a customs query becomes storage charges.
